Ayrshire College was established on 1 August 2013 following the merger of Ayr College, Kilmarnock College and the North Ayrshire Campus of James Watt College. It is a large regional college based on the west coast of Scotland, catering for approximately 14,000 students each academic year, split 50% between full-time and part time. The college has three main campuses in Kilwinning, Kilmarnock and Ayr and one satellite campus based within Irvine Royal Academy.
They aim to be the best in Scotland, a seven-star college that inspires students to achieve their full potential by playing a lead role in the development of skills, the economy and community life.
It’s 21 years since I started my first timetabling job at the University of Glamorgan, and I’ve experienced managing timetable and related operations at the University of Leicester, DMU, UWE and MMU as well as running a Registry. At no point during all of that time have I felt as optimistic about the future possibilities for system-enhanced timetabling in HE as I do right now.
So, this is my first blog post and I must admit I’ve struggled a little to decide on the right tone for it. As someone who’s spent more years than they care to remember largely writing formal reports, marketing content and academic essays, it’s been a little challenging to put something together that is more ‘conversational’.
As I write this, I’ve just completed my first eight months at Semestry. So, I’ve decided to attempt to share some of that experience with you through focussing on the changes we’ve been seeing in the TermTime product, or the edited highlights at least (as you’ll see there have been a lot). However, rather than just listing all the additional functionality that’s appeared (but don’t worry, I’ll be doing that too, list fans ), I thought I’d highlight the approach that led us to decide the relative priority of these enhancements. This will hopefully offer a little bit of an insight into our product management philosophy and illustrate the drivers behind it.
The Really, Really Big List
So, what follows is a list of all the enhancements that have been added in the past eight months’ releases. At this point I have to give a shout out to my good friend and colleague, Lee Dumbleton, for all his great work in documenting these and our most excellent development team for doing the hard work of making it a reality. Just a couple of notes before I get into some of the highlights; I appreciate that a lot of the terminology is TermTime specific (do message me if you’d like me to describe anything in more detail though). Also, I fully appreciate that some of the enhancements listed may seem ‘basic’. I could have easily cut it down to the really clever stuff, but a full list will illustrate a couple of points about how we work. Firstly, we are honest with the sector that we serve and, secondly, that we are always looking to improve our interface and enhance usability. TermTime will never be finished, but it will always be getting better and better.
Our Approach to Product Design
Reflecting on this list I think it mainly highlights two important aspects of the Semestry approach to product design. The first is that we believe in and produce a unified solution. So, when you see references to self-service booking, utilisation reporting/parameterising, data collection, notification (email/text), etc., we aren’t just talking about integration, we are talking about a single system with core, staff and student interfaces, all of which work against a single database. That means everything is standard and available if a client choses to make use of it (and our current clients, the most excellent LSBM and PCA, certainly do). This approach offers up a lot more functional possibilities than in many traditional systems.
For example, the self-service booking for staff and students doesn’t just enable them to book rooms, but allocate their colleagues/students to the bookings, with full clash checking and instantaneous updates to individual timetables/calendars (assuming they aren’t subject to request confirmation). We’re currently having a lot of fun taking advantage of the single database approach in our design of ExamTime (our exam timetabling solution – due for release any day), but more of that in my next blog.
The second aspect it highlights is the fact that we really engage with and listen to the sector. Not only do our clients offer constant insights and suggestions for improvement which directly inform the content of our releases, so do the 44 HEIs (to date) we have demonstrated to and, in some cases, carried out proof of delivery work with. I can honestly say that this engagement, coupled with the freedom to assist in the development of a new system with so few technical constraints, has been hugely rewarding. The fact that I then have the absolute privilege of sharing this experience with fellow timetabling professionals in the sector, the most innovative and responsive developers I’ve ever worked with and internal colleagues with huge experience of Higher Education, is incredible.

A little background on LSBM.
The London School of Business and Management is a specialist institution in Bloomsbury, the academic heart of London. They deliver full-time undergraduate and postgraduate degree courses in Business, Accounting and Finance, and Law that are awarded by the University of Northampton.
The student body is culturally diverse and dynamic. Students are at the heart of LSBM’s decision making processes, ensuring student representation on academic committees through the Student Academic Representative system.
When we undertook the process to find the right supplier for our scheduling needs, we wanted to ensure that we put our students and staff at the centre of what we wanted to achieve. We had a very challenging set of timescales to meet and we needed a supplier that would be responsive to our requirements. To add to the challenge, we were not only replacing our scheduling system, but implementing a new attendance monitoring system and reconfiguring our student record system.
We selected Semestry and their Cloud based scheduling solution, TermTime, because of their willingness to engage, listen and respond to our requirements. TermTime has proved itself to be a highly flexible, innovative and robust solution for us. In addition to a great scheduling experience, it was important that we had a partner in this process, not just a software supplier. In Semestry, we feel we have just that. When things on occasion did not go to plan, Semestry would find a solution and respond to our issues in a positive and professional manner. No project that is as demanding as ours will ever be plain sailing, but with the right partner, any problems can be successfully navigated.
Today, all of our staff and students can easily access their calendars and be rapidly notified of any changes by email or those last minute changes by SMS, and, even better, we have experienced 100% uptime of the service from Semestry.
We are looking forward to continuing to build our partnership with Semestry as we look forward to a range of exciting new developments over the coming months. I have no doubt these enhancements will support us in our mission to continuously improve our services to students and staff.

The HO-Link Conference is being held at Noordwijkerhout in The Netherlands on Thursday and Friday, June 16th and 17th, 2016. The conference this year focusses on the theme ‘Be prepared’ covering developments that have a major impact on the future of education.

We are pleased to announce that the UK Access and Management Federation (UK Federation) have now approved Semestry as a Shibboleth Service Provider to the UK Higher Education and Further Education sectors.
As a Service Provider, Semestry’s TermTime portals are the source of the information and resources that are accessed directly through the Shibboleth architecture. A college or university acts as the Identity Provider to provide the authentication of the user through their Shibboleth implementation to allow Single Sign On (SSO) to the TermTime portals.
This allows Semestry to offer seamless SSO service provision to any UK institution that is already using Shibboleth federated identity solutions.
The Shibboleth architecture defines a way of exchanging information between an individual and a provider of digital data resources. Shibboleth is able to protect both the security of the data and the privacy of the individual viewing it. The common framework for access management defined by Shibboleth is being adopted by education communities across the globe.
This SAML-based architecture allows institutions to securely pass SSO attributes when accessing the TermTime Staff and Student Portals.

The UK federation offers its membership secure access to online resources and services through a single sign-on login, simplifying access to the services they need and protecting their privacy. It connects people from different colleges, universities and commercial providers not only in the UK, but on an international basis – linking up with federations in other countries – allowing them to share digital resources and services to authorised users.
In the UK 99.6% of universities and 86% of colleges are members of the federation. The federation is also leading in its adoption by commercial organisations, with over 240 businesses registered. These range from publishers, who use the federation to deliver their content, to providers wanting to provide special offers on services and equipment to students. Through Jisc’s leadership, the federation has made the UK a world leader in the use of this technology to support and drive the digital marketplace for the online goods and services essential to education and research today.
